Booking Facilities - Rules of Hire
CONDITIONS OF USE OF ST JOSEPH'S CHURCH AND MEETING HALLS
- Please note that there is no music and dancing license for the building. Therefore, no one can hire it for public events involving these activities. The kitchen complies with the Food Safety Act. However, the Parish has not registered it under the Food Premises (Registration) Regulations 1991. Therefore, collectively, we must not use it for the production of food more than five times in any five weeks.
- The Parish will make a charge for the use of the building, or any part of it, at the current published scale of charges. The hiring will be for a specific part of the building and there is no right of entry to any other part except the toilets, the cleaning cupboard and corridors leading directly to these rooms. The use of the kitchen, for instance, is a separate hiring.
- Hirers make a deposit of two hundred pounds when confirming their booking by the submission of a fully completed booking form to the lettings manager. This should be a cheque made payable to "St Joseph's Parish". Hirers must pay the full fee, in the same format, at least three-weeks before the event.
- In the case of a cancellation, the Parish will only refund the fees if the Parish receives another booking to replace the one cancelled. You must notify the letting manager of a cancellation in writing. No refund will be entertained if you cancel after fourteen days before the event.
- No booking is fully accepted or guaranteed without the letting manager receiving the booking form and relevant deposit.
- In the event of there being no complaint concerning the use of the building or the state in which the hirer left it, any loss or damage or other reasonable cause there will be no loss of deposit. In this event the letting manager will destroy the cheque or return it if the hirer has requested this by including a stamped addressed envelope marked "returned papers".
- The Parish will hold the hirer responsible for any loss or damage of any property belonging to the Centre whilst in their care and will charge the cost of any repair or replacements.
- Hirers have access to the Centre during the times for which they paid and that are on the booking form confirmation. There must be no occupation outside these times.
- Hirers need to arrange with the church (01372 723573) the opening and closing of the building. Any such operation outside office hours may attract a fee.
- The hirer will need to set up any chairs and tables that they require. They must make sure that someone cleans and puts these items away in their designated area, as per the diagram in the store, after the function. Hirers must not drag tables and chairs across the floor and must stack chairs no more than ten high.
- You must leave the buildings in a clean and tidy state. To this end, please ensure that there is no smoking or the chewing of gum in or around the building. No one is to throw confetti inside or outside the building. Please ensure anyone who wishes to dispose of soiled nappies does so in the bins located outside. Hirers must remove all other rubbish created by their event. Hirers must not attached articles or posters to the walls, doors, floors or ceilings. You must not use helium baloons as they set off the alarm and no party poppers as they stain the floor.
- You will need to control access to the kitchen at all times to ensure that you maintain hygiene regulations. For safety and insurance purposes, hirers must not allow children in the kitchen area and they must leave floors, worktops and equipment in a clean, safe and tidy condition.
- Hirers must keep fire exits clear at all times and ensure that there are no fireworks.
- You must comply with all licensing laws and, in particular, you must not supply alcohol for any form of reward without a liquor license.
- The Roman Catholic Diocese of Arundel and Brighton and the Church of St Joseph are not responsible for any loss or injury to persons or property arising from the use of the hall complex. Owners park vehicles on the site at their own risk. There is no parking on the access road and hall users must respect our neighbours by parking sensibly when the car parks are full.
- Hirers must not use high-powered electrical equipment or additional lighting without prior agreement. Equipment, such as discos, must use safety sockets or a circuit breaker adapter. There are to be no smoke machines.
- Sound level must not cause annoyance to local residence or other users of the halls. Hirers must ensure that they close all doors and windows during music production. All music must stop at 11.30pm on Fridays and Saturdays or at 10.45pm on other days.
- Before vacating the building hirers must ensure that they securely close and lock all windows and doors. They must also turn off all taps, turn off and clean all kitchen equipment, remove all rubbish, switch off all lights and check that everyone has left the building.
- All users must leave the Centre quietly and in an orderly manner without slamming doors, calling out to others or sounding car horns.
